Booking terms

The simple rules for booking a Situal Cave VR party: the deposit, cancelling, moving your party, the space we need and staying safe.

1. Your booking and payment

• Parties can be booked online at least 24 hours ahead, for up to 10 children. For bigger groups, please contact us.
• To book, you pay a 30% deposit of the party price and travel charge online, plus the hall hire in full if we book a hall for you. Your party is confirmed once we've emailed you a confirmation with a booking reference.
• The balance is paid when the party starts, by card or bank transfer.
• The price is the one shown when you book, including any travel charge worked out from your postcode.

2. Parties at your venue

• Please give us a clear, safe space of at least 3m × 3m with a plug socket nearby, and tell us about parking or access in your booking notes.
• Our team arrives about 30 minutes before the start to set up. Guests can arrive from 15 minutes before.
• If the space isn't safe to play in and we have to cut the games short, we'll refund 15% of the party price.
• If it isn't possible to play at all, we'll refund the party price, but not the travel charge.

3. "We get a hall" parties

• We book a hall near your postcode and confirm it by email. If we can't get a hall, your deposit is refunded in full.

4. Cancelling and moving your party

• Cancel at least 48 hours before the party and we refund your deposit. You can do this from the link in your confirmation email.
• For hall parties, once we've secured the hall, we keep the hall hire, because we've already paid it.
• Want a different date or time instead? Contact us at least 48 hours before and we'll move your party for free, if we're available.
• With less than 48 hours' notice, the deposit is non-refundable. At our discretion, we may offer one alternative date, subject to availability, if you contact us before the party starts.
• If you move to a date or time that costs more, you pay the difference. If it costs less, the difference isn't refunded.
• If we have to cancel, we'll offer you a new date or a full refund, whichever you prefer.

5. On the day

• Our parties are for ages 7 and over.
• A parent or guardian must be present for the whole party.
• Our host runs the games, and everyone must follow their safety instructions. We may pause or stop play for anyone who isn't playing safely.
• If you're running late, please contact us as soon as possible on 07311 193633.
• The party finishes at the booked time, even if it starts late because of a delay on your side.

6. Promo codes

Promo codes must be entered when you book, before paying. They can't be added afterwards. They come off the party price only, not the travel charge or hall hire. Each code has its own limits, such as one use or an end date.

7. Equipment and damage

Please treat the equipment with care. If something is damaged on purpose, or by ignoring our instructions, we may charge the cost of repair or replacement.

8. Our responsibility to you

We're responsible for loss or damage that is a foreseeable result of our breaking these terms or not taking reasonable care. We don't limit our liability for death or personal injury caused by our negligence, or for anything else the law doesn't allow us to limit. Otherwise, our liability is limited to the price of your booking.

9. Your information

We use your details to manage your booking, as explained in our privacy policy.

10. The law

These terms are governed by the law of England and Wales. If you live in Scotland or Northern Ireland, you can also bring a claim in your local courts.

Changes to these terms

If we change these terms, we'll update this page and the date at the top. Your booking follows the terms that applied when you booked.
